How to fax multiple pages and keep them in order

On this page

To fax several pages in order, put them all in the same fax: scan the pages one after another (or add the PDF), check the page thumbnails, move any page that is out of place, delete the ones that don’t belong, then send. The pages arrive in the order you see them. A cover sheet with the total page count lets the recipient check that nothing is missing.

Steps

  1. Lay the pages out first. Put the paper in the order the form or letter asks for. If it gives no order, keep each form together with its own attachments.
  2. Scan them in one go. In Faxsure, scan the first page and keep scanning; each scan is added as the next page. Apple’s own scanner in Notes and Files works the same way: “Tap the Done button or add additional scans to the document.” You can mix sources in the same fax: scans, PDFs from Files and photos.
  3. Check the order. Look at every page thumbnail. Move a page that is out of place, and rescan a page that is crooked or cut off.
  4. Delete what doesn’t belong. Blank backs of pages, instruction pages, and pages the form itself says not to send (see below).
  5. Add a cover sheet. It is free, does not count as a page, and shows the total pages including the cover, so the recipient can check nothing is missing.
  6. Check the price and send. The price follows the page count and updates as you add or delete pages. The receipt shows how many pages were delivered.

Pages forms say not to send

Some official PDFs contain pages that are meant for you, not for the agency. They say so on the page:

  • California EDD Form DE 1101IBD: “DO NOT MAIL OR FAX THIS PAGE”. Keep that page for your records.
  • North Carolina Form GEN-58: the first page of the PDF says “Do Not Include This Page”.

Read the top and bottom of each page before you scan it.

Page limits per fax

Some agencies limit the pages in one transmission:

  • IRS Form 8233: “You are limited to 25 pages at one time.”
  • IRS Form 8802: you can fax up to 10 forms, with all required attachments, “for a maximum of 100 pages”, and “You must use a fax cover sheet stating the number of pages included in the transmission.” The number is on our Form 8802 page.

Faxsure sends up to 50 pages in a single fax. Over 50 pages, the app offers to split the document into two faxes; each is priced by its own page count, shown before you send. If you split a document yourself, mark the cover sheets “1 of 2” and “2 of 2” in the subject or message so the recipient can put them together.

Keep attachments with their form

When pages could be separated at the other end, identify each one. The IRS instructions for Form 8857 say: “Write your name and social security number (SSN) on any attachments.” Where a form’s instructions ask for something like this, do it on the paper before you scan.

A cover sheet with your name, phone number and the page count also helps. How to fill out a fax cover sheet lists what each field is for, and the PDF steps for documents you already have are in how to fax a PDF from the Files app.
